Deactivating and deleting

Ending someone's access and freeing their seat, and the separate, permanent step of anonymising them.

These are two different actions. Deactivating ends the person's access, frees their seat, and can be undone. Deleting anonymises the person's personal data and cannot be undone.

Deactivating someone#

Open the ⋯ menu on their row and choose Deactivate user. The dialog guides you through three steps:

  1. Choose who should take over their work, or select Don't transfer, keep everything as it is. Transferring moves their boards, task assignments, memberships, column permissions and automations to the person you choose.
  2. Select a reason for deactivating them: cost-related reasons, switching to a different platform, lack of usage or engagement, no longer being part of the company, or Other with an optional note.
  3. Review the summary, tick the box to confirm that you understand, and choose Deactivate user.

They immediately lose access to every board, conversation and file in the workspace and receive an email about the change. Their paid seats are free.

Deleting someone#

Delete user appears only on a row that has already been deactivated, you can't delete an active person in a single step. The dialog is headed Delete user details and asks for a display name to use in place of their identity, defaulting to "Deleted member".

  • Their personal data is deleted.
  • Their updates, comments and content remain where they are, attributed to the replacement name.
  • Their email address becomes available to invite again.
  • Their row remains in the directory as Deleted, with no further actions available.
