Inviting people
Sending a batch of invitations, and what to do when one of the addresses is refused.
4 min readUpdated
Owners and admins invite people. Open Invite members from the user menu, or the Invite button on Administration › Users. Everyone you invite gets an email with a link to set their name and password.
- Type an email address and press Enter, comma or Tab to turn it into a chip. Repeat for everyone in this batch.
- Pick a role: one role applies to the whole batch.
- Add a message if you want to give the invitation some context.
- Check the counter at the bottom, then send.
Addresses that get skipped#
Each address is checked before anything is sent, and a refused one is marked with a red note. Partial sends are normal, the good addresses go out and the flagged ones stay on screen for you to fix.
- Already a member: that address is on the account already.
- Already invited: there's a pending invitation for it; resend or revoke it instead.
- Needs a paid seat, the role you picked uses a seat and there isn't a spare one.
- Guest limit reached: your plan's guest cap is full.
- Member limit reached: your plan's member cap is full.
Pending invitations#
The Pending tab: in the invite dialog and in Administration › Users, lists everything sent but not yet accepted, with the address, when it went out, the role, and how long the link has left.
- Invitations last 14 days. The row counts down: Expires in N days, Expires tomorrow, Expires today, then Link expired.
- Resend reuses the same link and starts the 14 days again. It doesn't use up an extra seat.
- Resend has a 60-second cooldown per invitation, the button shows the seconds remaining.
- Revoke stops the accept link from working. Use it when you invite the wrong person.
