Cross-board automations

Moving and copying items between boards, what reaches across, and what doesn't.

Move or create items between boards and understand what can be mapped across them.

Choosing the Destination Filling in the Columns What Can Map Onto What Creating a Subitem

Most automation activity stays on the board where the automation was created. Three actions can create or move an item somewhere else, and all three use a similar mapping form.

Create Item in BoardAnother boardFill in the item's details

Choosing the Destination#

"Move Item to Board" and "Create Item in Board" both start with a board picker. Search for a board using "Search boards", then select a group using "Search groups" or "Choose group".

A group is required. Selecting only a target board is not enough to save the action.

Filling in the Columns#

After selecting the destination, the form lists its columns in two sections: Item columns and Subitem columns.

Each field can be populated in one of two ways:

  • A static value that you type or select. The same value is used on every run.
  • A mapped value selected through "Use values from trigger". This uses the same panel available in message editors and copies a value from the item that triggered the automation.

What Can Map Onto What#

Mapping is type-checked. The picker only offers source columns that are compatible with the destination column.

Destination ColumnWhat It Accepts
StatusStatus and priority columns, either way round.
NumberNumber and currency columns, either way round.
Date, Date & Time, TimelineAny of the three.
Email, Phone, Link, Rating, Color, Dropdown, Checkbox, File, PersonA column of the same type.
Text and Long TextAny column type can be written as text.

If no compatible source column is available, the field shows "No matching columns". You can either enter a static value or add a compatible column to the board where the automation runs.

Creating a Subitem#

"Create Sub-item" uses the same form but keeps the new item on the current board. It creates a subitem beneath the item that triggered the automation.

The Name field is required and uses the placeholder "Add subitem name". Like other fields, the name can contain static text, a variable, or a combination of both.
