Scheduling automations

Setting a repeating schedule, or an exact-or-offset time relative to a date column.

4 min readUpdated

Set a repeating schedule or run an automation at a specific time relative to a date column.

Three triggers run based on a schedule rather than an action by a person. They use two different editors:

TriggerEditor
Every time periodA repeating schedule: Daily, Weekly, Monthly, or Yearly.
When date arrivesDate setup relative to a date column on the item.
When subitem date arrivesDate setup relative to a date column on a subitem.

The Repeating Schedule#

Select the schedule token for "Every time period" to open a popover headed "When" with four tabs. Each tab defines a schedule in the form "Every [n] …, at [time]".

TabWhat It Adds
DailyAn interval in days and a time.
WeeklyA Monday-to-Sunday selector. Select at least one day. You can select multiple days to run on each selected day.
MonthlyA grid of dates from 1 to 31. Select one date.
YearlyA month dropdown from January to December and a 1–31 date grid.

A live summary below the settings describes the schedule you have configured, such as "Every day, at 7:30 AM ((UTC+06:00) Dhaka)".

Time and Timezone#

Both scheduling editors use the same time and timezone controls.

The time list uses 30-minute intervals from 12:00 AM through 11:30 PM. This means automations can run on the hour or half hour, but not at times such as 9:15.

The timezone list contains 15 fixed options, including "(UTC+06:00) Dhaka", "(UTC+00:00) UTC", New York, London, Dubai, Kolkata, Tokyo, and Auckland.

Date Setup#

"When date arrives" and "When subitem date arrives" are not repeating triggers. They run once per item based on a date already stored on the board.

Select the "Date setup" token and choose one of two options:

  • When the date arrives, runs exactly on the date in the selected column.
  • An offset: specify a number, a unit of Days, Weeks, Months, or Years, and Before or After the date arrives.

Both options include a Time section with the same 30-minute time slots and 15 timezone options. For example, "2 Days Before the date arrives at 9:00 AM" runs two days before the date at the selected time.
